The meeting concluded following adjournment and closing prayer.

FGSCAA held its October 2024 Physical General Meeting on Saturday, 26 October 2024 at the Festac Grammar School premises.

Group B hosted the meeting.

The meeting was called to order at 12:10 PM.

The meeting continued the institutional and membership reforms considered at the August 2024 General Meeting and reviewed progress across membership administration, meeting participation, projects, financial matters, regulatory compliance and year-end planning.

Matters arising

Adoption of August 2024 Minutes

Members reviewed the minutes of the 31 August 2024 General Meeting.

Following review and consideration, the minutes were adopted as the working record of the previous meeting.

This provided the basis for consideration of matters arising from the August resolutions.

Groups A–F

Group B Hosting Review

The meeting reviewed Group B’s performance as host of the October General Meeting.

Members confirmed that Group B had substantially complied with the meeting-hosting requirements adopted at the August 2024 General Meeting.

The discussion reinforced the purpose of the Groups A–F structure as a means of encouraging participation, shared responsibility, fellowship and stronger member engagement.

2024/2025 financial year

Membership Dues and Good Standing

The meeting reviewed progress on annual membership dues for the 2024/2025 financial year.

Members were reminded of their financial obligations to the Association and of the constitutional provisions relating to delinquency and good standing.

The meeting noted progress in the number of members who had paid their annual dues since the beginning of the financial year.

The emphasis remained on encouraging members to remain financially and institutionally active within the Association.

Participation

Physical Meeting Attendance

The meeting further considered lateness and attendance at General Meetings.

Members reaffirmed that physical meetings were to begin at 12 noon.

Following deliberation, the meeting adopted a 30-minute settling-in period, after which lateness would apply.

The Association also reiterated that members unable to attend should provide appropriate notice in accordance with the Association’s rules.

The discussion reinforced that FGSCAA expected not only payment of dues, but meaningful participation in General Meetings and Association activities.

Institutional compliance

Constitution and Membership ID Cards

Members were reminded of the requirement to remain familiar with the Association’s Constitution and Bylaws.

The meeting also reinforced the use of membership identity cards at physical General Meetings.

These measures formed part of the Association’s broader effort to improve discipline, identity administration and institutional compliance.

Project Committee

Back-to-School Project

The October meeting received an update on the 2024 Back-to-School Project.

Items Being Prepared for Distribution

  • School bags
  • Notebooks
  • Writing materials
  • School uniforms

The Association planned to present the materials to the school on 15 November 2024.

Members were encouraged to continue supporting the project financially and organisationally.

The project was also intended to form part of FGSCAA’s 8th Anniversary project documentation.

Finance Committee

Financial Update

The Finance Committee presented an update covering:

  • Other Association financial activity

The meeting considered the financial position of the ongoing projects and the importance of continued member support.

Corporate Affairs Commission

CAC Regularisation

A significant institutional matter considered at the meeting was the Association’s regulatory status with the Corporate Affairs Commission.

The meeting was informed that outstanding annual returns and related regulatory obligations needed to be addressed.

Members approved steps to regularise the Association’s CAC position and restore full compliance.

This became an important part of FGSCAA’s institutional housekeeping during late 2024.

Committee Reports

The meeting received reports from several Association committees.

  • Finance Committee

    The Finance Committee reported on dues, project fundraising and related financial matters.

  • Welfare Committee

    The Welfare Committee provided an update on member welfare activities and continued efforts to strengthen relationships among members.

  • Project Committee

    The Project Committee reported on preparations for the Back-to-School presentation and the readiness of project materials.

  • Social Committee

    The Social Committee reported on the proposed 2024 Homecoming and year-end plans.

Social Committee

2024 Homecoming Review

The meeting reviewed the proposed 2024 Homecoming/Retreat.

Members recognised that the larger three-day retreat originally contemplated would be difficult to execute under the prevailing fundraising and economic conditions.

The meeting therefore considered shifting the larger Homecoming programme into 2025 while retaining a smaller year-end gathering for members.

Historical Significance

The 26 October 2024 General Meeting was important in consolidating reforms introduced at the August 2024 meeting.

It demonstrated the practical operation of the Group A–F hosting system, reinforced membership and attendance obligations, advanced the Back-to-School Project, authorised CAC regularisation and helped reshape the Association’s year-end and Homecoming plans.

The meeting therefore represented another step in FGSCAA’s transition toward stronger institutional discipline, regulatory compliance and structured programme delivery.
